Icebreaker(5 min):
One place you’ve travelled to and why you liked/didn’t like going.
People have traveled all over the world and loved it! The only place that wasn’t recommended was Denny’s Restaurant.

Homework (5-10 min):

Discussion Items:

April 4 Dinner (15-20 min)
-Budget for food: let’s try to keep costs under $100.
-Admission: Max $5.
-Theme: formal spaghetti dinner with jazzy prerecorded music as background.
-Improv group. Terrance will meet with Crawlspace Eviction this week.

Breakdance event debriefing (5 min):
Terrance spoke about meeting some of the participants. We should remember to keep a sense of variety when planning events. Let’s not always have rock or folk shows; we want to bring all kinds of music and art to the community.

Kaven (10 min):
A good handful of us will be meeting with Kaven to discuss plans with the building. If you still have any event write-ups, now’s the time to submit them.
We’re shooting for Sunday, April 12 around 6pm.
Towards the end of May we’re planning on having a more formal meeting with Kaven. We’ll need to put together a polished presentation including a business plan and a budget.

T-shirts (5 min):
We’re looking into having some KCAC t-shirts printed up to wear to events and around town. We will also sell them to the community at large.

Random Notes and Announcements:
We can use http://www.doodle.ch to help plan convenient meeting times.
We need a grab-and-go kit when we table. This includes pamphlets, mailing list sign-up sheets, business cards, buttons, and any other relevant literature. We have a sweet posterboard (thanks Ashten!) already.

Review Responsibilites:
Fiona, Tim, and Natasha will deliver remaining thank you cards.
Jess will price food at GFS.
Jeremy will print out new pamphlets this week.
Fiona will make a banner for tables.
Terrance will edit/print out more sign-up sheets.

Meeting and facilitation evaluation:
Highly productive meeting, we got through a lot of material in just over an hour, which may be a record for us! Thanks to Chris, we did much better speaking in turn. Liberal usage of Twinklefingers also sped things up.

Icebreaker: (5min)
What was your favorite cartoon growing up? Doug seemed to be the favorite, Teenage Mutant Ninja Turtles, Winnie The Pooh, Rugrats.

Homework: (10 min)
Jeremy- finish newsletter/welcome packet. Packet is completed, we will review it for typo’s and changes.
Fiona will finish powerpoint presentation. Powerpoint was finished and presented March 14
Terrance and Natasha will go to Grant Seeking workshop on March 10 at Central Library.. They will give a report later in the agenda.

Discussion Items:

Benefit Show (10-15 min)
Discuss Saturday’s fundraiser and evaluate the event.
We raised $646.15! Event went very well, between 80-100 were in attendance. Bake sale was very successful. Disorganized at the beginning, work on better planning in regard to details. Design a plan of necessities for the event beforehand. Presentation was weak and scattered. Need to organize the presentation better. Practice, Practice, Practice! Need to include directions or a description of how to get there. Create signs to direct people to the event. Socialize with the community. Everyone should be there earlier, and have jobs assigned to them.

O.N.E. Place.(5-10 min)
Grant Seeking program from March 10th.
Grant Writing program on March 24th
Notes from the meeting will be posted on the facebook group. There is a free database to search for foundations to find grants. OnePlace will help us find donors who have donated to similar organizations. Coming up will be a grant writing workshop on March 24th. Recommended doing more events to prove our community involvement. Quantitative Data for grants.

April 4th Dinner (10-15 min)
Plan the dinner/raffle
We will continue with dinner, we are not licensed to do raffle so that will be on hold.
Talk about price next week. Dinner at 7, Improv Comedy on at 8:30. We will need to make the sauce, and garlic toast.

The Kalamacrew Breakdance Crew (5-10 min)
The Possibility of sending representation to that show.
We have been invited to have a table at the breakdance crew. Event is at KVCC at 7, Friday, March 20th. We need to bring brochures and buttons. Terrance and Ashten will be in attendance and

KCAC Website (5-10 min)
We need to fix the e-mail list. We need more and better information. Dan will talk to Jackie.

Meeting with Kaven (5-10 min)
Dan meet with Kaven. We need to decide whether to pursue this space. We will pursue the building, but inform Kaven our timeline is realistically closer to a year to raise 10,000.

Meeting and facilitation evaluation: Meeting was longer than in the past. Some branching out, losing focus, not knowing whose turn it was to talk. Stop Reiterating points! Don’t repeat points that have already been made. New attendees were impressed by the structure and productivity. Some points could have been discussed outside of the meeting. A lot was accomplished, meeting went a little long because of topics being discussed.

Success!

I just want to give a huge shoutout/thankyou on behalf of the KCAC to all of you who showed up at yesterday’s fundraiser. We had a great time, the bands played fabulously and the baked goods were absolutely scrumptious. The KCAC couldn’t have put this on without the help of the folks at the Peace Center, so a HUGE thankyou goes out to them for letting us use the Wesley Foundation. We also want to thank those who brought baked goods for the bake sale- that added to a huge amount of funds received- we’ll be able to use the proceeds towards other projects we are working on in the near future.

DJ Josh-  thankyou so much for staying the entire time to spin between sets. You’re rad.

Lastly, we really want to thank all of the musicians who came out and played the show. You’re the reason we were able to do this, and we love you guys.

We sincerely appreciate the support and we’re going to contiue to look for new ways to get the community involved with our art scene. If you liked any of the bands who played yesterday, do whatever you can to support them. Buy their merch and go to their shows!

Please don’t hesitate to come out to one of our meetings and see what we else we are planning. The next one is Monday, March 16th at 9:30p.m at 315 Walnut St.

Benefit Show!

The Kalamazoo Collective Arts Center, a new nonprofit organization, is sponsoring a benefit show to help raise awareness about the group’s mission and goals, seek community input and ideas, and raise some money.

The first set of the event will start at 4pm on Saturday, March 14th at WMU’s Peace Center/Wesley Foundation. Start the evening off right with local folk/roots musicians:

Meeting Notes 2/22/09

Some people had raspberry treats. Some people had chocolate ice cream or stolen cookies. Others were more sensible and had bagels, eggs, and yummy torts from Crow’s Nest.

Homework Review:(10 min)

Dan draw up floor plans for the space
Dan met with Kavan and they talked about having a semi permanent concession.

Jeremy email Jackie about button designs
Jeremy emailed Jackie and told her to go ahead order the buttons.

Dan finds out about switching over server
Did not get a hold of her, but will try calling her.

Jeremy print up fliers for Graphic Design
We decide that we will put this on hold for the time being.

Natasha contact hornet
Chafe said he could have Minutes play. Natasha will talk to Chafe about Minutes if Hornet can not.

Fiona contact Who Hit John?
Fiona tried email and did not get a response. She will try calling the number on the Myspace page. If she does not here back by tonight, then she will pursue Michael Beauchamp.

Russ contact Out of Favor Boys
Russ is currently touring. Natasha will call Russ and find out what is happening with this.

Everyone find something to raffle.
We have a few things at this point, but we will need more.

Dan Find pricing on food through the crow’s nest.
Dan can get this really cheap and maybe be able to do this for free.
We will make deserts, but we will also see if we can find donations.

Jess speak to J.A. about finding a grant writer
Jess tells us about some opportunities for non profit excellence through the Kalamazoo Public Library. She will try to set up a meeting this weekend.

Jeremy will research and make a short presentation on fiscal sponsorship, post standardized notes.

Discussion Items

• Raffle(15-20 min)
We should see if we can get DJ Monster to DJ in between sets. Natasha will talk to him. We have confirmed Can I Can I. Note that it is easier to talk to people on the phone than by email. We need bands to be confirmed soon.

•Fiscal sponsorship (10min)
Jeremy found that there are two types of fiscal sponsorship. One is like an umbrella sponsorship similar to the Peace Center and The Welsly foundation’s relationship. The parent organization would be responsible for finding grants and funding. We would prefer the other type, which is pretty much a relationship on paper.

• Narrative for Website (10min)
Natasha wrote a great narrative. She reads it aloud and we modify a few of the words. Natasha will send it to Jeremy and he will pass it along to Jakie. Jeremy will also put it on the website and Facebook page.

• Welcome Packet (5 min)
Jess found pictures for the board members. We should think about letting people know how often we plan events. We will work on a newsletter at the next meeting.

• KCAC Community event (2min)
We wanted to have an event were the KCAC community could get together outside of the meeting setting. We decide to have a bowling night Thursday 26th. 8-? Jess will call and reserve two lanes and make an event.

• Litribune Meeting (2 min)
We still have a lot of questions for Dan and Ben from the Litribune. We would like to meet with them on Monday 9:30 at 113 Dutton st.

Proposal Items

• Litribune table at raffle (5min)
Ben and Dan from the Litribune would like to set up a table at the show on March14th. We will meet with them on Monday. Then we will vote on this at the next meeting.

Next week we should discuss a policy for who we will associate with.

• Non Profit Discussion
Dave’s mother talks to us about what she has learned in non profit. She has a few tips that she has learned from experience. We also run through the newest revision of the bylaws. Natasha found some spelling and word errors.

Review Responsibilities:

Natasha will call Russ about Out of Favor Boys and about the card. She will talk to Josh aka DJ Monster about Djing between sets. She will talk to Chafe about Minutes if Hornet cannot play March 14th. Also, she will send Jeremy the narrative.

Jeremy will come up with a brief narrative to give to businesses when we approach them about donations. He will send Natasha’s narrative to Jackie. Jeremy will also put it on the website and Facebook group.

Dan will talk to Jakie about switching over the server. He will also continue to work on the bylaws.

Fiona will call the number on the Who Hit John? Mypace page. If she does not here back, then she will contact Michael Beauchamp. Fiona will also make a page on the Facebook group so that we can stay organized when asking for donations.

Jess will talk to someone about One Place at the library. She will call and reserve two lanes bowling lanes and make an event.

Everyone should ask local businesses about donations. Check the facebook thread so you know who has been where.

Everyone that was working on an event plan needs to have it complete by next week.

Meeting and facilitation evaluation:
Our meeting was just under an hour and a half. This is great considering the amount we covered in the meeting. Dave did a fantastic job facilitating. We had some new faces and they seemed comfortable participating. They were also very pleased with our structure. Things are definitely running much smoother. Remember to use shenanigans.
